Osarekisterien asiakasrekisteri, palveluntarjoajarekisteri, sidosryhm\u00e4rekisteri ja markkinointirekisteri henkil\u00f6tietoja k\u00e4sittelev\u00e4t rekisterinpit\u00e4j\u00e4n lis\u00e4ksi tarpeen mukaan TellWell Translationsin EU:n sis\u00e4lle sijoittuvat kieli-, k\u00e4\u00e4nn\u00f6s- ja muiden palvelujen suorittamisen kannalta keskeiset asiantuntijapalvelujen palveluntarjoajat, suomalainen tilitoimisto, EU:n sis\u00e4lle sijoittuva tiedostojensiirtopalvelu, EU:n sis\u00e4lle sijoittuva verkkopohjainen projektinhallintaty\u00f6kalu, suomalainen s\u00e4hk\u00f6postipalvelun tarjoaja, EU:n sis\u00e4lle sijoittuva pankki, EU:n ulkopuolelle sijoittuva mutta EU:n sis\u00e4lle sijoittuvaa datakeskusta k\u00e4ytt\u00e4v\u00e4 verkkopohjaisen k\u00e4\u00e4nn\u00f6smuistiohjelman palveluntarjoaja, EU:n ulkopuolelle sijoittuva ohjelmistoyritys, EU:n ulkopuolelle sijoittuva uutiskirjepalvelu ja EU:n sis\u00e4lle sijoittuva mutta EU:n ulkopuolista datakeskusta k\u00e4ytt\u00e4v\u00e4 tapahtumailmoittautumispalvelu. Kaikkien vastaanottajien kanssa on tehty tietosuoja-asetuksen mukainen tietojenk\u00e4sittelysopimus tai ne noudattavat Euroopan komission antamia tietosuojaa koskevia vakiolausekkeita.<\/p>\n

Rekisteriin tallennettavat tiedot saadaan asiakkaalta ja palveluntarjoajilta muun muassa s\u00e4hk\u00f6postitse, www-lomakkeella l\u00e4hetetyist\u00e4 viesteist\u00e4, verkossa olevalla kyselyty\u00f6kalulla, puhelimitse ja sopimuksista sek\u00e4 yleisesti saatavilla olevista julkisista l\u00e4hteist\u00e4. Sidosryhmien tietoja saadaan p\u00e4\u00e4s\u00e4\u00e4nt\u00f6isesti\u00a0<\/span>tapaamisista ja yleisesti saatavilla olevista julkisista l\u00e4hteist\u00e4. Markkinointirekisterin tietoja saadaan p\u00e4\u00e4s\u00e4\u00e4nt\u00f6isesti yleisesti saatavilla olevista julkisista l\u00e4hteist\u00e4.<\/span><\/p>\n

7. Henkil\u00f6tietojen s\u00e4ilytysaika<\/strong><\/span><\/p>\n

Asiakkaan henkil\u00f6tietoja s\u00e4ilytet\u00e4\u00e4n asiakassuhteen p\u00e4\u00e4ttymisen j\u00e4lkeen seitsem\u00e4n (7) vuotta tai, mik\u00e4li lains\u00e4\u00e4d\u00e4nt\u00f6 sit\u00e4 edellytt\u00e4\u00e4, t\u00e4t\u00e4 pidemp\u00e4\u00e4n. Asiakassuhteen p\u00e4\u00e4ttyminen lasketaan viimeisen asiakkaalle toimitetun laskun p\u00e4iv\u00e4m\u00e4\u00e4r\u00e4st\u00e4. Palveluntarjoajien henkil\u00f6tietoja <\/span>s\u00e4ilytet\u00e4\u00e4n seitsem\u00e4n (7) vuotta yhteisty\u00f6suhteen p\u00e4\u00e4ttymisen j\u00e4lkeen niin, ett\u00e4 p\u00e4\u00e4ttyminen lasketaan alkavaksi yhteisty\u00f6t\u00e4 koskevan sopimuksen purkamisp\u00e4iv\u00e4st\u00e4. Sidosryhm\u00e4- ja markkinointirekisterien tietoja s\u00e4ilytet\u00e4\u00e4n niin kauan kuin se on tarpeen, ellei rekister\u00f6ity <\/span>ottamalla yhteytt\u00e4 rekisterinpit\u00e4j\u00e4\u00e4n pyyd\u00e4 tietojensa poistamista. Tietoja voidaan s\u00e4ilytt\u00e4\u00e4 edell\u00e4 mainittua pidemp\u00e4\u00e4n, mik\u00e4li lains\u00e4\u00e4d\u00e4nt\u00f6 sit\u00e4 edellytt\u00e4\u00e4.<\/span><\/p>\n

8. Henkil\u00f6tietojen k\u00e4sittelyn tarkoitus<\/strong><\/span><\/p>\n

Henkil\u00f6tietojen k\u00e4sittelyn k\u00e4ytt\u00f6tarkoituksena on asiakas-, sidosryhm\u00e4- tai palveluntarjoajasuhteen hoitaminen ja kehitt\u00e4minen, palvelun ja asiakaspalvelun tuottaminen ja kehitt\u00e4minen, palvelusta tiedottaminen ja viestiminen sek\u00e4 laskuttaminen. Asiakkaan ja <\/span>palveluntarjoajan henkil\u00f6tietojen k\u00e4sittelyn perusteena on sopimussuhde. Sidosryhm\u00e4rekisterin ja markkinointirekisterin henkil\u00f6tietojen k\u00e4sittelyn perusteena on oikeutettu etu.<\/span><\/p>\n

Palveluntarjoajan henkil\u00f6tunnuksen k\u00e4sittely perustuu toimeksiantosuhteeseen liittyvien Tellwell Translationsin etuuksien hoitamiseen. Henkil\u00f6tietojen k\u00e4sittelyn perusteena on t\u00e4ll\u00f6in TellWell Translationsin oikeutettu etu.<\/span><\/p>\n

TellWell Translations saattaa l\u00e4hett\u00e4\u00e4 rekisteriss\u00e4\u00e4n oleville yhteyshenkil\u00f6ille <\/strong>kohdennettuja markkinointi-, asiakas- ja yhteisty\u00f6kumppaniviestej\u00e4, joista vastaanottaja\u00a0<\/strong>voi kielt\u00e4yty\u00e4 viestin sis\u00e4lt\u00e4m\u00e4n linkin kautta tai ottamalla yhteytt\u00e4 rekisterinpit\u00e4j\u00e4\u00e4n,\u00a0<\/strong>jonka yhteystiedot ovat alla:<\/strong><\/span><\/p>\n

10. Tietojen siirto EU:n tai ETA-alueen ulkopuolelle<\/strong><\/span><\/p>\n

Rekisterin tietoja ei siirret\u00e4 EU:n tai ETA-alueen ulkopuolelle, ellei ole ole v\u00e4ltt\u00e4m\u00e4t\u00f6nt\u00e4.\u00a0<\/span>Mik\u00e4li henkil\u00f6tietoja siirret\u00e4\u00e4n EU:n tai ETA:n ulkopuolelle, rekisterinpit\u00e4j\u00e4 toteuttaa sopivat ja asianmukaiset suojatoimet soveltuvan tietosuojalains\u00e4\u00e4d\u00e4nn\u00f6n vaatimusten noudattamiseksi. Rekisterinpit\u00e4j\u00e4ll\u00e4 on sopimus Microsoftin kanssa, joka toimii EU:n ulkopuolella ja k\u00e4sittelee henkil\u00f6tietoja Euroopan komission antamien tietosuojaa koskevia vakiolausekkeiden mukaisesti. Rekisterinpit\u00e4j\u00e4ll\u00e4 on sopimus MailerLiten kanssa, joka toimii EU:n ulkopuolella ja k\u00e4sittelee henkil\u00f6tietoja Euroopan komission antamien tietosuojaa koskevia vakiolausekkeiden mukaisesti.<\/p>\n

Rekisterinpit\u00e4j\u00e4 on tehnyt sopimuksen Billetton kanssa, joka k\u00e4sittelee henkil\u00f6tietoja rekisterinpit\u00e4j\u00e4n puolesta palveluntarjoajana (henkil\u00f6tietojen k\u00e4sittelij\u00e4n\u00e4). Billetto ja\/tai sen alik\u00e4sittelij\u00e4t voivat k\u00e4sitell\u00e4 henkil\u00f6tietoja EU\/ETA-alueen ulkopuolella (mukaan lukien Yhdysvalloissa). EU\/ETA-alueen ulkopuolelle teht\u00e4v\u00e4t siirrot toteutetaan asianmukaisia suojatoimia k\u00e4ytt\u00e4en, kuten Euroopan komission vakiosopimuslausekkeiden perusteella. Rekister\u00f6idyt voivat k\u00e4ytt\u00e4\u00e4 tietosuojaoikeuksiaan (mukaan lukien oikeus pyyt\u00e4\u00e4 henkil\u00f6tietojensa poistamista) ottamalla yhteytt\u00e4 rekisterinpit\u00e4j\u00e4\u00e4n. Rekister\u00f6idyt voivat my\u00f6s tehd\u00e4 poistopyynn\u00f6n suoraan Billettolle Billetton \u201cMy Data\u201d -sivun kautta (rekister\u00f6ityneet k\u00e4ytt\u00e4j\u00e4t) tai ottamalla yhteytt\u00e4 Billetton tukeen s\u00e4hk\u00f6postitse osoitteessa support@billetto.com<\/a><\/p>\n

Rekisterinpit\u00e4j\u00e4 on tehnyt sopimuksen ajanvarauspalvelu Vellon kanssa, jonka kumppaneista osa saattaa sijaita EU:n tai ETA-alueen ulkopuolella. Siirt\u00e4ess\u00e4\u00e4n tietoja EU:n tai ETA-alueen ulkopuolelle Vello huolehtii oman tietosuojaselosteensa mukaisesti henkil\u00f6tietojen suojan riitt\u00e4v\u00e4st\u00e4 tasosta muun muassa sopimalla henkil\u00f6tietojen luottamuksellisuuteen ja k\u00e4sittelyyn liittyvist\u00e4 asioista lains\u00e4\u00e4d\u00e4nn\u00f6n edellytt\u00e4m\u00e4ll\u00e4 tavalla, esimerkiksi Euroopan komission hyv\u00e4ksymi\u00e4 mallisopimuslausekkeita k\u00e4ytt\u00e4en. Vellossa annettujen tietojen siirto EU- tai ETA-alueen ulkopuolelle voi perustua my\u00f6s ajanvarauspalvelun k\u00e4ytt\u00e4j\u00e4n suostumukseen.<\/strong><\/span><\/p>\n

11. Rekisterin suojauksen periaatteet<\/strong><\/span><\/p>\n

Rekisteri on s\u00e4hk\u00f6inen ja sen tiedot sijaitsevat TellWell Translationsin tietoj\u00e4rjestelm\u00e4ss\u00e4 ja sen varmuuskopiot erillisell\u00e4 varmuuskopiolevyll\u00e4. Asiakkaiden ja alihankkijoiden tietojen osalta rekisteri on osin manuaalinen. Manuaalinen aineisto s\u00e4ilytet\u00e4\u00e4n <\/span>lukitussa tilassa, jonne on p\u00e4\u00e4sy vain TellWell Translationsin yritt\u00e4j\u00e4ll\u00e4 Paula Erkintalolla ja t\u00e4m\u00e4n erikseen valtuuttamilla henkil\u00f6ill\u00e4.<\/span><\/p>\n

Henkil\u00f6tiedot s\u00e4ilytet\u00e4\u00e4n luottamuksellisina. Rekisterinpit\u00e4j\u00e4n ja sen tietotekniikkakumppanien tietoverkko ja laitteisto on suojattu palomuurilla ja riitt\u00e4vill\u00e4 teknisill\u00e4 tietosuojaratkaisuilla. Rekisterin tiedot sijaitsevat Euroopassa ja Yhdysvalloissa sijaitsevilla palvelimilla. Rekisteriin tallennetut tiedot on suojattu tietoturvallisesti ja niit\u00e4 p\u00e4\u00e4see katsomaan vain rekisterinpit\u00e4j\u00e4 ja h\u00e4nen valtuuttamansa henkil\u00f6t. Tietoj\u00e4rjestelmien k\u00e4ytt\u00f6\u00e4 valvotaan ja j\u00e4rjestelmiin p\u00e4\u00e4sy on rajoitettu rekisterinpit\u00e4j\u00e4\u00e4n ja t\u00e4m\u00e4n valtuuttamiin henkil\u00f6ihin. Tietoj\u00e4rjestelmien k\u00e4ytt\u00e4j\u00e4 tunnistetaan k\u00e4ytt\u00e4j\u00e4tunnuksella ja salasanalla.<\/span><\/p>\n

Rekisterin tietoja k\u00e4sittelee p\u00e4\u00e4asiassa rekisterinpit\u00e4j\u00e4. Niilt\u00e4 osin kuin k\u00e4sittely on palvelun suorittamisen tai TellWell Translationsin lakis\u00e4\u00e4teisten velvoitteiden suorittamisen kannalta v\u00e4ltt\u00e4m\u00e4t\u00f6nt\u00e4, rekisteriss\u00e4 olevien asiakkaiden tietoja, tyypillisimmin nime\u00e4 ja yhteystietoja, <\/span>saattavat k\u00e4sitell\u00e4 rekisterinpit\u00e4j\u00e4n lis\u00e4ksi my\u00f6s palvelun suorittamisen kannalta v\u00e4ltt\u00e4m\u00e4tt\u00f6m\u00e4t palveluntarjoajat. Niilt\u00e4 osin kuin k\u00e4sittely on palvelun suorittamisen kannalta v\u00e4ltt\u00e4m\u00e4t\u00f6nt\u00e4, rekisteriss\u00e4 olevien palveluntarjoajien tietoja, tyypillisimmin nime\u00e4 ja yhteystietoja, saattavat k\u00e4sitell\u00e4 rekisterinpit\u00e4j\u00e4n lis\u00e4ksi my\u00f6s TellWell Translationsin asiakkaat, miss\u00e4 tapauksessa Rekisterinpit\u00e4j\u00e4 ilmoittaa asiasta erikseen palveluntarjoajana toimiville rekister\u00f6idyille sek\u00e4 tietojen k\u00e4sittelij\u00e4n\u00e4 asiakkaalle antaen asiasta tarvittavan ohjeistuksen. TellWell Translations on tehnyt kaikkien palveluntarjoajiensa kanssa henkil\u00f6tietojen k\u00e4sittelyst\u00e4 m\u00e4\u00e4r\u00e4\u00e4v\u00e4n tietojenk\u00e4sittelysopimuksen ja ohjeistanut n\u00e4m\u00e4 tietojenk\u00e4sittely\u00e4 ja tietoturvaa koskien.<\/span><\/p>\n

12. Rekister\u00f6idyn oikeudet<\/strong><\/span><\/p>\n

a. Kielto-oikeus<\/span><\/p>\n

Henkil\u00f6ll\u00e4 on oikeus kielt\u00e4\u00e4 tietojensa k\u00e4sittely suoramarkkinointia ja muuta markkinointia varten.<\/span><\/p>\n

b. Rekister\u00f6idyn oikeus saada p\u00e4\u00e4sy tietoihin (tarkastusoikeus)<\/span><\/p>\n

Rekister\u00f6idyll\u00e4 on oikeus tarkastaa t\u00e4ss\u00e4 tietosuojaselosteessa annettujen ohjeiden mukaisesti, mit\u00e4 h\u00e4nt\u00e4 koskevia tietoja rekisteriin on tallennettu. Tarkastusoikeus voidaan ev\u00e4t\u00e4 laissa s\u00e4\u00e4detyin perustein. Tarkastusoikeutta voi k\u00e4ytt\u00e4\u00e4 maksutta kahdesti kalenterivuoden aikana.<\/span><\/p>\n

In addition to the Controller, the data included in the subregisters Customer Register, Vendor Register, Interest Group Register and Marketing Register is processed, when necessary, by TellWell Translations\u2019 vendors who provide language services, translation services and other services relevant for the provision of the service and are located in the EU; a Finnish accountancy firm, a file transfer service located in the EU; an online project management tool located in the EU; a Finnish email service provider, a bank located in the EU, an online translation tool provider located outside EU and with a data center located in the EU, a software company located outside EU, a newsletter service located outside EU and an event registration service based in the EU but using a data centre located outside the EU. A data processing agreement pursuant to the General Data Protection Regulation has been made with all recipients, or the recipients operate in accordance with the standard data protection clauses adopted by the European Commission.<\/p>\n

6. Regular sources of data<\/strong><\/span><\/p>\n

The data stored in the register includes data received from customers and vendors from such sources as email, messages sent on a web form, phone, an online survey tool, contracts, and data retrieved from public sources generally available. Data on the interest groups is primarily received from meetings and retrieved from public sources generally available. The information included in the Marketing Register is mainly retrieved from public sources.<\/span><\/p>\n

7. Retention period for personal information<\/strong><\/span><\/p>\n

The Customer\u2019s personal data is retained for seven (7) years after the end of the customer relationship, or, if so required by the law, longer than this. The end of the customer relationship shall be deemed to end on the date of the last invoice sent to the customer. The personal data of the Vendors is retained for seven (7) years after the end of the cooperation relationship, the end being deemed as the date on which the contract on the cooperation is terminated. The information included in the Interest Group Register and Marketing Register are retained as long as needed, unless the data subject requests the erasure of their personal data by contacting the controller. The data can be retained longer than mentioned above, if so required by the law.<\/span><\/p>\n

8. Purpose of processing of personal data<\/strong><\/span><\/p>\n

The purpose of the processing of personal data is for the management and development of customer, interest group or vendor relationships; the provision and development of the service and customer service; communicating about the service, and invoicing. The grounds for the processing of the Customer\u2019s and the Vendor\u2019s personal data is a contractual relationship. The grounds for the processing of the personal data included in the Interest Group Register and Marketing Register is a legitimate interest.<\/span><\/p>\n

The grounds for the processing of the Vendor\u2019s personal identification number is the management of TellWell Translations\u2019 interests related to the principal-contractor relationship. The grounds for the processing is, thus, TellWell Translations\u2019 legitimate interest.<\/span><\/p>\n

TellWell Translations may send targeted marketing messages and messages related to customer communication and communication with trusted partners to the contact people in its Register, and the recipient may ban this messaging via the link included in the message or by contacting the Controller, whose contact details are found below:<\/strong><\/span><\/p>\n

The Controller has entered an agreement with Microsoft located outside the EU and handling personal data in accordance with the standard data protection clauses adopted by the European Commission. The Controller has entered into an agreement with Billetto, which processes personal data on the Controller\u2019s behalf as a service provider (data processor). Billetto and\/or its sub-processors may process personal data outside the EU\/EEA (including in the United States). Transfers outside the EU\/EEA are carried out using appropriate safeguards, such as the European Commission\u2019s Standard Contractual Clauses. Data subjects may exercise their data protection rights (including the right to request deletion of their personal data) by contacting the Controller. Data subjects may also submit a deletion request directly to Billetto via Billetto\u2019s \u201cMy Data\u201d page (for registered users) or by emailing Billetto support at <\/span>support@billetto.com.<\/a><\/p>\n

The Data Controller has entered into an agreement with the appointment booking service Vello. Some of Vello\u2019s partners may be located outside the EU or EEA. When transferring data outside the EU or EEA, Vello ensures an adequate level of protection for personal data in accordance with its own privacy policy, including by agreeing on matters related to the confidentiality and processing of personal data as required by applicable legislation, for example by using the European Commission\u2019s approved standard contractual clauses. 11. The principles of Register protection<\/strong><\/span><\/p>\n

The Register is electronic and its data is located in TellWell Translations\u2019 information system and its backup copies on a separate backup drive. For Vendors and Customers, the Register is partly manual. The manual dossier is stored in locked facilities to which only the business owner Paula Erkintalo and the people individually authorised by her have access.<\/span><\/p>\n

The personal data is kept confidential. The data network and hardware of the Controller and their information technology partners are protected with a firewall and sufficient technical data protection solutions. The data of the Register is located on servers in Europe and the United States. The data stored in the Register has been protected securely and can only be accessed by the Controller and the people authorised by her. The use of data systems is monitored and the access to the systems is limited to the Controller and the people authorised by her. The user of the data systems is identified with a username and password.<\/span><\/p>\n

The data in the Register is mainly processed by the Controller. To the extent that it is necessary for the completion of TellWell Translations\u2019 statutory obligations, customer data in the Register, most typically name and contact details, may be processed, in addition to the Controller, by Vendors necessary for providing the service. To the extent that is necessary for the provision of the service, Vendor data in the Register, most typically name and contact details, may be processed, in addition to the Controller, by TellWell Translations\u2019 Customers, in which case the Controller will inform the data subjects in the role of Vendors and the data processor in the role of the Customer providing the necessary instructions on the matter. TellWell Translations has a data processing agreement governing data processing with all its Vendors and has provided them with instructions on data processing and information security.<\/span><\/p>\n

12. Rights of data subjects<\/strong><\/span><\/p>\n

The data subject has the right to object to processing of their data for direct marketing and other marketing.<\/span><\/p>\n

6. Raccolta dei dati<\/span><\/strong><\/p>\n

I dati memorizzati nei registri sono ottenuti da clienti e fornitori di servizi tramite e-mail, messaggi inviati tramite modulo web o attraverso una query online, telefonate, contratti, fonti pubbliche, ecc. I dati sulle parti interessate sono ottenuti principalmente attraverso incontri e fonti pubbliche disponibili. Di norma, le informazioni contenute nel registro dei dati commerciali vengono da fonti pubbliche.<\/p>\n

7. Periodo di conservazione dei dati personali<\/strong><\/p>\n

11. Protezione del registro<\/strong><\/p>\n

Il registro \u00e8 elettronico e i dati sono memorizzati nel sistema informatico di TellWell Translations, e i suoi backup, su un disco separato. Il registro dei dati dei clienti e dei subappaltatori \u00e8 in parte manuale. Il materiale inserito manualmente \u00e8 conservato in una stanza chiusa a chiave, accessibile solo alla titolare del trattamento dati di TellWell Translations, Paula Erkintalo, e a persone appositamente autorizzate.<\/span><\/p>\n

I dati personali sono riservati. La rete di dati e l’hardware della titolare del trattamento dei dati e dei suoi partner informatici sono protetti da un firewall e da adeguate soluzioni tecniche di protezione dei dati. Gli utenti dei sistemi informatici sono identificati da un nome utente e da una password.<\/span><\/p>\n

I dati dei registri sono trattati principalmente dalla titolare del trattamento dati. Nella misura in cui il trattamento sia necessario per la fornitura di un servizio o per l’adempimento degli obblighi legali di TellWell Translations, i dati dei clienti memorizzati nel registro, solitamente il nome e i dati di contatto, possono essere trattati non solo dalla titolare del trattamento, ma anche dai fornitori di servizi che assicurano la fornitura del servizio stesso. Nella misura in cui il trattamento sia necessario per la fornitura del servizio, i dati dei fornitori di servizi\u00a0 memorizzati nel registro, tipicamente il nome e i dati di contatto, possono essere trattati non solo dalla titolare del trattamento ma anche dai clienti di TellWell Translations, nel qual caso la titolare del trattamento informer\u00e0 separatamente gli interessati che agiscono in qualit\u00e0 di fornitori di servizi e, in qualit\u00e0 di titolare del trattamento dei dati, il cliente, fornendo le istruzioni necessarie.
